To effectively conduct the inventory and asset management process, the Evidei System consists of a desktop application, user-friendly mobile application, consumables, and equipment including mobile terminals with built-in barcode readers and label printers. Additionally, it is possible to integrate this solution with other systems through existing web services.
The desktop application is designed for workstations running the Windows operating system. Its primary purpose is to register fixed assets and assets, which involves creating and managing inventory cards owned by the company, recording various information about fixed capital and assets, dividing and classifying fixed assets and assets into physical or logical categories, and storing the history of the company’s asset registration. The application allows for adding photos, accessories, prices, suppliers, attachments, serial numbers, marking fixed assets of third-party companies, and other parameters. Data is securely stored on a Microsoft SQL server.
The application utilizes a Microsoft SQL Server database environment to store data.
Part of the registration of the company’s fixed assets data also includes registering the hierarchy of asset locations, allocations, or classifications. The application allows for the registration of 3 levels of physical and 4 parameters of logical asset classification.
The property inventory utilizes the hierarchy of asset locations, allocations, or classifications. This allows the application to conduct asset inventory in two ways, according to physical location or logical classification. Subsequent levels of deployment or inclusion parameters then determine the selection of assets for inventory.
The core of the system is the EVIDEI application designed to run on desktop computers with the Windows operating system. For inventory purposes, mobile terminals with a dedicated EVIDEI mobile application are used, designed for devices with the Android operating system. Unlike the desktop version, the main task of the mobile application is to create an inventory list on-site. The entire procedure involves verifying and registering the compliance or differences in the pool of fixed assets by comparing the expected and actual status and location. This solution is based on barcode technology (1D and 2D).
The resource overview can be conducted according to physical classification (by entering a room and scanning/reading all resources) or according to one or more logical criteria (selecting a responsible person or persons and all electronic devices belonging to them, as well as performing calculations for the selected resource).
After navigating to the resource details screen, upon scanning/entering/selecting a specific resource, it is possible to see the expected location where the resource should be located and compare it with the current location. The application allows for all resource details, changing required fields or parameters, taking a photo, selecting a predefined note, creating a custom note, and much more.
The method of selecting the resource is also recorded – whether it was scanned, entered via keyboard, read by an RFID reader, or selected by double-tapping on the resource list.
It is possible to create a new asset record or manage loans (borrowings) also through the mobile application.
